Scan again for your saved registration and venueVisitors

Use the same phone browser that saved your spectator confirmation.

  1. Scan the event registration QR. The app checks your saved private confirmation before greeting you by surname.
  2. Tap Detect my venue and allow location access. GPS checks confirmed venue coordinates and detection radii. Your precise location stays on your phone. If the location is unclear, select your venue.
  3. Check the venue before signing daily attendance. Registration and attendance are separate.
  4. If registration is incomplete, choose Add phone reminder and open the file in Calendar. Confirm saving the reminder.
  5. Use Forget this device when sharing the phone or registering a different person.

Changing browser, private browsing or clearing saved data prevents automatic recognition. Phone-calendar reminders require your confirmation and remain in your calendar until you remove them. Venue selection requires a confirmed venue.

Follow the event workflowAll

Complete each step before moving to the next. Registration and team allocation do not approve participation.

  1. Administrators: save the participant registration, capture a portrait and ID/licence copy, check the original identity document and record verified identity before pitch entry.
  2. Visitors: register as a spectator and save your private confirmation. Sign attendance once per event day.
  3. Team managers: check your delegation, departmental verification file, signed indemnity forms and final team sheets. Send corrections to the administrator.
  4. Administrators: check identity and duplicate flags, apply confirmed corrections, complete the correction review and explicitly approve eligible participants.
  5. Confirm sporting codes, divisions, coaches, team managers, venues, official fixtures and code convener assignments.
  6. Participants: use your personal QR and the venue QR for daily check-in after approval.
  7. Code Conveners: scan eligible players’ personal QR codes, compare the verified photo with the person and confirm identity before pitch entry; then start the match, update scores and check the final result before ending the match.
  8. Administrators: update programme progress and LOC actions, check award references and download the daily report.

Daily attendance, field entry and match results are separate records. Keep private invitation links and verification documents out of public messages. Party announcements do not change tournament check-in dates.

Open official programme →
Prepare the daily event and LOC reportAdministrators

Event Reporting follows the official programme and brings daily attendance, official match results and follow-up actions together.

  1. Open Event Reporting and choose Friday or Saturday.
  2. Under Programme progress, choose Update progress, record the status and actual times, then save.
  3. Under LOC actions, add the action, responsible person and status.
  4. Under Awards register, enter the team, division and signed result reference. Verify only after checking the official result.
  5. Use Download daily report for an Excel-compatible CSV, or Print / save PDF for the current view.

Programme status and actual times are public. Internal notes, actions, draft awards and the daily report remain private. Daily check-in is different from attendance at individual activities.

Open Event Reporting →
Update party events and public announcementsAdministrators

Pre-party, Main party and Post-party are listed using the supplied event posters.

  1. Open Event Reporting, then Events & announcements.
  2. Choose Update event or Add event.
  3. Save as Draft while details are being confirmed.
  4. Enter the confirmed date, venue and public announcement before choosing Published. Leave the start time blank if it is not yet confirmed.
  5. Choose Cancelled and save if a confirmed event is cancelled.

Draft details and internal notes stay private. Public announcements appear on Events & announcements. The supplied posters are available on the public events page.

View event information without signing inVisitors

The public event portal provides viewing access to event totals, teams, sporting codes, fixtures, venues and results.

  1. Open the public event portal.
  2. Choose Event overview, Teams & codes, Outstanding information or Fixtures & venues.
  3. Use Search teams to find a province, department, sport or division.
  4. Event figures refresh automatically every minute.

Editing, personal records and verification documents require authorised access.

Open public event portal →
Sign in or resolve “Assignment pending”All

Use the same email address that the event owner assigned to your role.

  1. Open Organiser workspaces and choose Team managers, Administrators or Code Conveners.
  2. Sign in with your assigned account.
  3. If Assignment pending appears, check that you used the correct email address.
  4. Ask the event owner to confirm your role and department, team, sporting code or fixture assignment.

A workspace link alone does not grant editing access.

Open organiser workspaces →
Review your teams and request a correctionTeam managers

Your workspace shows the delegation or teams assigned to your account.

  1. Open the Team manager workspace.
  2. In Teams & participant readiness, search for a participant, department or sporting code.
  3. Open the participant details to see the information requiring attention.
  4. Under Request a participant correction, select the participant and describe the confirmed amendment.
  5. Choose Submit correction request. Track it under Pending correction requests.

Keep ID numbers, payslip details and document photographs in the verification file. An administrator reviews the correction request.

Know which verification documents are requiredAll

Departments must maintain the participant verification file.

  1. Provide an ID or driver licence copy.
  2. Provide a PERSAL printout or payslip.
  3. Provide an employment contract for an intern.
  4. Provide the team sheet.
  5. Ensure the participant has completed the indemnity form before the tournament.

A document flag means the required evidence or check has not been recorded in the app. Confirm any paper copies held by the department.

Correct participant details and record approvalAdministrators

Importing a name or allocating a team does not approve participation.

  1. Open the event workspace and choose Participants.
  2. Search for the registration and choose Edit.
  3. Confirm the name, date of birth, province, institution type and department.
  4. Confirm the sporting code and, where applicable, a matching team and division.
  5. Check the participant’s identity, employment evidence, team sheet and completed indemnity form.
  6. After the required checks, set Registration status to Approved and choose Save record.

The app requires a valid date of birth and sporting code before approval. Confirm a support-only or coaching role with the organiser rather than assuming playing eligibility.

Open event workspace →
Capture a document from a photographEvent owner

Document capture is available in the event owner’s authorised workspace.

  1. Open Capture documents from a photo and choose the Document type.
  2. Choose Take document photo or Choose existing image. Use a clear, well-lit page with every corner visible.
  3. Rotate the photograph if needed, then choose Read text on this device.
  4. Compare every suggested field with the photograph and correct any mistakes.
  5. Choose the correct existing participant. Use a new draft only when you have checked that no matching registration exists.
  6. Select the fields to apply, confirm the participant and document, then save the reviewed document.
  7. For an indemnity form, personally check completion and the signature before confirming it.

If Read with AI is unavailable, use device reading and correct unclear fields manually. Saving a document does not change registration approval.

Open document capture →
Resolve an ambiguous name or possible duplicateEvent owner

Unresolved source entries need an identity decision before a new registration is created.

  1. Open Participants and find Submitted participant lists.
  2. Select Needs review, then choose Review entry for the relevant line.
  3. Compare the original list and verified identity with existing registrations.
  4. Choose Link existing registration, Create a confirmed draft or Exclude this line as appropriate.
  5. Provide the reason, confirm the identity check and choose Save decision.

Repeated appearances of the same person should link to the existing registration.

Open participant register →

Teams are organised by province, department, sport and division.

  1. Open the event workspace and choose Teams.
  2. Find the correct team and choose Edit.
  3. Enter the confirmed Team manager and Named coach.
  4. Check the province and sporting code, then choose Save record.
  5. Use the missing-information dashboard to check the remaining team details.

A named coach or manager is a staff assignment, not automatic playing approval.

Open teams workspace →
Assign or revoke organiser accessEvent owner

Role assignments determine which records and controls a person can use.

  1. Open the Administrator workspace and find Assign individual role access.
  2. Enter the person’s full name and sign-in email.
  3. Choose the role. For a team manager, choose the department and optional team. For a code convener, choose the sporting code or fixture.
  4. Choose Assign role access and share the matching workspace link with that person.
  5. To remove access, find the role assignment and choose Revoke access.

Administrators can manage event records. Only the event owner assigns individual roles.

The dashboard brings together gaps in participant records, teams, coaches, codes, venues and fixtures.

  1. Open the missing-information dashboard.
  2. Choose a summary card or a Record group.
  3. Filter by province where available, or search by name, department, sport or missing field.
  4. Use Show only records with missing information or outstanding checks to narrow the list.
  5. Open the details, then choose Download this list.

Counts can overlap across categories. Pending fixture or venue lists do not represent a known number of missing matches or venues.

Open missing-information dashboard →

Reports can be filtered before they are downloaded.

  1. Open Reports in the event workspace.
  2. Choose the province and code, or search for a participant or department.
  3. Choose Download CSV or Download branded PDF.
  4. For correction details, open the Approval & corrections report and choose the report group.
  5. Download approved participants, participants needing review or unresolved source entries as required.

An approved-participant report can be empty when no registrations have been marked Approved.

  2. Open Fixtures & results and choose Add fixture.
  3. Choose the sporting code, two different matching teams, round, date, time and venue.
  4. Enter field and substitution limits where the competition rules require them.
  5. Save the fixture, then arrange the code convener assignment.

The app checks for conflicting team or venue bookings. Live scores are entered through match controls.

Open event workspace →
Open your match and publish scoresCode Conveners

Your workspace lists the sporting codes or fixtures assigned to you.

  1. Open the Code Convener workspace and choose Open match controls for the assigned fixture.
  2. On the fixture date, scan the approved starting players for both teams. Each player must match the fixture’s team and sporting code.
  3. Choose Start game when both teams and the venue are ready.
  4. Enter the scores and choose Publish live scores.
  5. For substitutions, scan the incoming player and confirm the outgoing and incoming players from the same team.
  6. Save the correct score before choosing End game & confirm final scores.

Match controls operate on the fixture date in South African time. Final scores are locked after the game ends.

Open code convener workspace →
Sign the daily attendance registerParticipants

Use the personal QR link issued to you by the organiser.

  1. Open your personal participant QR link on your phone.
  2. Scan the venue QR code displayed at the venue, using the same phone.
  3. Check your displayed registration and venue details.
  4. Choose Sign attendance register.
  5. Wait for the attendance-saved confirmation.

Participant check-in requires an approved registration and an event date. Each person signs once per day. Keep your personal QR link private.

Open attendance check-in →
Register spectator attendance and give feedbackVisitors

Spectators use the attendance form rather than the participant spreadsheet.

  1. Open Attendance registration on an event date.
  2. Complete the required name, province and attendance details.
  3. Select the venue and events watched where available.
  4. Add an optional rating or review, then submit the attendance form.
  5. Keep your spectator registration number for subsequent event days.

Spectator attendance is available during the event dates. A spectator registration does not give access to the playing field.

The camera or QR scanner is not workingAll

Check camera access and use the available alternative.

  1. Allow camera access when your browser asks. If previously blocked, enable it in the browser’s site settings.
  2. Close another app that is using the camera and try again.
  3. For a document, choose an existing clear image instead of taking a new photograph.
  4. For a QR code, use your phone’s camera or QR reader, then paste the scanned link into the field provided.

Use the event’s personal or venue QR links. Do not paste private links into public chats.

A record will not save or the information looks oldAll

Read the message shown on the page before trying again.

  1. Complete the required fields and check that the selected province, code and team match.
  2. Choose Refresh to load the latest records.
  3. If another organiser changed the record, reopen it and review those changes before saving.
  4. If a possible duplicate is reported, find the existing registration instead of creating another one.
  5. For a closed match, ask the event administrator to review the issue; do not create another fixture to replace its result.

If the problem continues, give the event administrator the registration or fixture reference and the message shown. Do not send identity documents in a public message.

Understand approval, roster and pending figuresAll

Different figures describe different stages of the event.

  1. Registered participants includes draft registrations.
  2. Approved participants counts registrations explicitly marked Approved by an organiser.
  3. A team allocation does not itself approve a participant.
  4. Multi-sport participants may appear on several rosters. Roster totals can include listed coaching staff.
  5. Pending means information or confirmation is still required; it does not mean a person or team has been rejected.

Use the correction report or contact the team manager to confirm what is outstanding for a particular registration.

Still need assistance?

Contact your department’s team manager for participant details and team allocations. Contact the event administrator for access, approvals, fixtures or results.

Give the registration number or fixture reference and describe the message shown on the page. Keep identity documents and personal QR links out of public messages.
